Freeman School District Substitute Secretary

 

Summary: Under the supervision of the Principal, is responsible for performing secretarial duties in daily operations of the school office.  This position may include, but not be limited to, the following performance responsibilities, qualifications, knowledge, skills and abilities.

                                                                                         

Major Responsibilities:

  1. Greets parents, answers phones, acts as principal’s representative, in a positive, professional manner, when meeting parents and/or general public. Maintains absolute confidentiality.
  2. Assists students, parents and staff seeking help in office.
  3. Prepares a variety of written materials such as documents, correspondence, report cards, reports for principal and special education staff, and information to parents such as the Scottie Scoop.  
  4. Maintain and update information on school voice messages, reader boards, websites and other means of communication to assure students and parents have current information about programs, school activities and special events.
  5. Maintains student records for K-12 regular education and special education students.
  6. Maintains/manages CEDARS reporting for K-12.
  7. Maintains a variety of files and records for the purpose of providing documentation in accordance with administrative and legal requirements.
  8. Manages multiple tasks simultaneously while dealing with significant disruptions.
  9. Works cooperatively with members of the team. Assists other personnel as may be required for the purpose of ensuring an efficient and effective work environment.
  10. Writes, types, or enters information into computer to prepare correspondence, student records, requisitions, purchase orders, bills, statements, receipts, checks, or other documents, copying information from one record to another.
  11. Proofreads records or forms. Sorts and files records. Prepares various reports for principal.
  12. Organizes and directs the work of student helpers.
  13. Handles funds (e.g. lunch monies, fees, fines, receipting, bank deposits, field trips, etc.) for the purpose of processing monies in compliance with district policies (as assigned).
  14. Administers first aid and decides whether ill students need immediate care, professional help, parental notification or excused temporarily to sickroom.
  15. Receives, stores, and distributes supplies. Maintain equipment inventories. Addresses and stuffs envelopes or packages.
  16. Answers telephone, conveys messages, and runs errands. Stamps, sorts, and distributes mail. Prepare mailings.
  17. Maintains good student relations through organization, consistency, and fairness.
  18. Maintains ASB records – purchase orders, track sales and payments, balance to bank and district monthly.
  19. Assist Athletic Director.
  20. Attends workshops and trainings to stay current and abreast of updates.
  21. Photocopies documents.
  22. Other duties may be assigned.

Qualifications:

  1. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
  2. The ability to perform multiple, technical/non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions.
  3. High school diploma or general education degree (GED); and one to three months related experience and/or training; or equivalent combination of education and experience. Must have strong computer skills with word processing and spreadsheet software.
  4. Must favorably pass the Washington State Patrol/FBI background check.
  5. Demonstrate mature behavior and ability to use sound judgment in communicating with students, parents, staff, and community.
  6. Preference given to quality current references.
  7. Must submit a complete application packet.
